Best Tradesperson Apps: WorkflowMax

Project management software by Xero

As virtual assistants to an array of Kiwi tradespeople, we are passionate about great job management platforms and other tradie software tools. The combination of good tech tools and an experienced, capable virtual assistant is a ticket to more spare time plus more opportunity to grow and develop your business.

We’ll cheers to that.

WorkflowMax is another fantastic software option. This one has a broader scope than some of the other more tradie-specific platforms we’ve used and reviewed like Fergus or SimPRO. This is an advantage for some of our clients who enjoy the versatility of this popular platform.

Here is the lowdown on WorkflowMax and some reflections on the software from Sarah, one of Released’s senior virtual assistants.

About them

It may come as no surprise to fans of WorkflowMax that the brand is owned and operated by another major Kiwi software favourite: Xero. The link with another successful business admin platform means you can expect the same high quality and the backing of an experienced, well-resourced team.

It also means great integration. App stacking doesn’t get much better than two tools made by the same well-regarded company and designed to work together.

Features and capabilities

WorkflowMax is advertised as being “packed with tools to help maximise your profit”, and that statement’s not wrong. Here’s a rundown of what WorkflowMax can do:

  • Job management: allows you to see tasks through from start to finish, keeping track of all details and necessary information so you can collaborate with the team.

  • Time tracking: offers several different ways to track time spent on specific jobs and tasks, making bookkeeping and payroll much easier. Time tracking can be done from anywhere and by multiple users.

  • Lead management: supercharges your sales. This is ideal for trades businesses with a focus on growth, making it easy to convert enquiries and interest into customers.

  • Quoting: creates, customises, and sends quotes quickly and easily. Templates and auto-populating speed it up even more. A crucial tool for trades businesses!

  • Job costing: shows where your profit is being made and lost. As expected from a Xero-owned software, WorkflowMax makes it possible and simple to keep careful track of the dollars from the start of a job to the finish.

Pricing and perks

WorkflowMax offers scalable pricing plans, making it accessible to all businesses. There are options from NZD$55 per month to NZD$400+ per month, according to the type of plan and number of users. And until the 27th of February 2022, they are offering 50% off your plan for the first six months—take a look at their pricing plan page for the code.

In addition to a seamless integration with Xero, the software has more than 30 add-ons. It works well with Zendesk, HubSpot, Photoshop, and more—making it possible to create easy workflow through your marketing, branding, and customer service functions.

The versatility of WorkflowMax has seen it used in a wide range of sectors and businesses, from creative agencies to IT to construction. While it is not specifically targeted to tradies, it is broadly applicable and has the crucial components necessary for the trades industry—with the opportunity to branch out as your business grows. As virtual assistants, we appreciate this versatility and especially the easy integration with Xero, one of our top tools of the trade.

Senior virtual assistant Sarah had this to say about WorkflowMax:

“What I love about it is that it allows you to capture the whole while you manage it in parts. It breaks it down into more manageable pieces - no more wondering if you've forgotten to do something important on time or forgetting to charge for time or materials.”

She appreciates being able to see all information in one place: documents, lists, deadlines, and reminders. The relationship between WorkflowMax and Xero is another highlight of the software for Sarah:

“Send it from Workflow and know it’s all gone through to Xero waiting to be reconciled.”
